Drafting a Virtual Message





Message:

            A message is an informal means of communication. The receiver of the message has to go through the given message and pick out the most vital bits of information.

          Then, he/she should be able to reproduce that information in order to convey it to the person for whom it is intended.

Virtual Communication:

          We define virtual communication as a mode of communication that includes the use of technology – audio and video to communicate with people who are not physically present in front of us.

Message Writing:

       Most often the input for a message comes in the form of a telephonic conversation between two people. The virtual conversation conveyed in the conversation is to be converted into a message for a third person. Whereas, standard instructions contain the necessary information for the message. Such messages are written on small pieces of papers called memo-slips. They are called virtual message.

Format:

·        Date

·        Time

·        Name of a person to whom the message is directed

·        Body of the message

·        Name of the writer/sender

 

Points to remember:

·        The most important details should be written.

·        No new information should be added.

·         Grammatically correct sentences should be used.

·        Indirect or reported speech should be used.

·        The message should be written in simple language and without any abbreviations.

·        Check your message before you submit and send it.

·        Be friendly and polite.

·        Avoid pun/ambiguity/witticism, in short words that would create confusion or a chaotic situation.

Activity No. 1

(1) You are Gopal, a receptionist, in the office of a company manufacturing garments. A Sales Manager Mr. Deshmukh visited and handed over the sales report to be submitted to the General Manager who was busy attending a meeting: (March '22)

Mr Deshmukh : Hello! I am here to submit the available sales report to the General Manager.

Gopal: I am sorry but the General Manager is in the meeting. Can you leave a message for him along with the reports?

Mr Deshmukh:  Sorry, I have to leave immediately to collect the other reports. Please inform the General Manager that I had to leave immediately and I will see him in the evening at 5:30P.M. with the other reports. Thank you.

As a receptionist, draft a virtual message for the General Manager.

Answer:

 11April, 10a.m.

Respected General Manager Sir,

Mr. Deshmukh, Sales Manager, visited company. He handed over the sales report. You were busy in the meeting. He had to leave immediately to collect the other reports. He will meet you at 5.30 p.m. with other reports.

 Imagine, you are Rahul/Jyoti studying in 12th Standard. You are going to attend an International Awareness Programme in New Delhi the next week.

Draft a message in about 100/150 words to convey the same to your classmate. Give your own reasons to support your message. (Sept. '21)

Answer:

March 20, 3.30 p.m.

Hi Saurabh,

 I am attending the International Awareness Programme in New Delhi next week on the 28th. However, I'm leaving for Delhi tonight and may not be able to contact you after this. we had discussed it last week and you had plans to go to Delhi. Anyway, it would be nice if you could also be there. We'll have fun as well as learn something.

 Imagine yourself as Ramesh. You are required to go to Pune to participate in the National Level Chess Competition and hence you won't be able to attend the class-test. Draft a virtual message for your friend Sanket in about 50 to 75 words asking him to convey the reason for your absence to your subject teacher.

Hi Vikas,

I have to go to Pune right now to participate in the National Level Chess Competition. I got this news just an hour back. I will return only after two days. Hence, I will miss the English class test tomorrow. Can you tell Mane sir the reason for my absence? Tell him I'm sorry and I will answer a test later on if necessary. Thanks.

You think of attending a programme on 'Environment protection' at your college. At the same time you find it difficult to meet your friend whom you have promised. Write a message to your friend convincing him/her about the same. Draft this message in about 100 - 150 words specifying your own benefits to attend the programme. (July '22)

Hi Vikas!

I am going to attend the programme on Environment Protection this evening at 5 p.m. at my Devchand college,Arjunnagar. I feel it will be very useful as we have to live in this world and we should know how to look after the environment.  It will also be useful to us for our EVS exams. I can give a presentation on the topic as our semester-end project.

So, I will remain busy throughout the day. I find it difficult to meet you. I know I had promised you to meet you, buti can’t keep my word. I will meet you on the next time.
